Job description

Part-Time/20 hours per week

Key Functions and Expected Performances:

  • Assist with departmental events as needed (Annual Retreat, IGP Day, Holiday Party).
  • Provide administrative support for faculty searches: advertise position, draft correspondence to applicants, maintain file of applicants, communicate with recruiting committee, and arrange visits of candidates (travel arrangements, schedule interviews, process travel reimbursement, assist in relocation efforts for those who accept offer).
  • Maintain CDB (Cell & Developmental Biology) information on electronic calendar of both the BRET website and the CDB website.
  • Maintain conference room schedules for all department owned rooms.
  • Assist with updating departmental PR material (example: department poster, directory, newsletter).
  • Assist co-Vice Chair with the CDB Distinguished Faculty Lecture Series. Organize the visits of high profile scientists to campus (correspondence, travel arrangements, seminar organization, scheduling, and coordination with the Office of Research and the Vice-Chancellor's office, as these are also a part of the Discovery Lecture Series).
  • Assist co-Vice Chair with managing academic appointments for all primary and joint CDB faculty; draft letters requesting new appointments and reappointments, maintain joint faculty database, notify CDB administrative staff of changes.
  • Assist with CDB Monday seminar series, including: hotel reservations, arrange for car service, process reimbursements for related expenses.
  • Coordinate events including: receptions for outside visitors, monthly faculty meeting/exchange lunches.
  • Provide administrative support for departmental committees as needed.

Requirements:

This position requires an Associate's Degree and a minimum of 36 months of relevant experience.
