Job description

Perform administrative and budget related duties of a complex and confidential nature in support of the Vanderbilt Center for Better Health, which requires a thorough knowledge of Medical Center and University policies and procedures. Performs complex secretarial duties as needed.

Commodore Cornelius Vanderbilt had a vision of a place that would "contribute to strengthening the ties that should exist between all sections of our common country" when he gave a million dollars to create a university in 1873. Today, that vision has been realized in Vanderbilt, an internationally recognized research university in Nashville, Tennessee, with strong partnerships among its 10 schools, neighboring institutions and the community.


Key Functions and Expected Performances:

Manage budgetary allocations through fiscal year:

  • Recommending allocation of funds for purposes of forecasting
  • Presenting recommended budget for next fiscal year
  • Representing Vanderbilt University to funding agencies
  • Tracking and monitoring direct and indirect costs in accordance with approved budget and funding agencies' requirements
  • Managing complex Excel budget workbooks in compliance with Informatics Center budgetary requirements.

 

Project Management:

  • Implementing plans to achieve defined departmental goals and objectives
  • Independently defining and developing parameters and desired outcomes of database queries, office procedures, etc.
  • Compiling data, conducting research assignments and summarizing findings according to general instruction
  • Analyzing and reporting findings relating to daily operations
  • Coordinating space and facilities planning
  • Coordinating preparation and submission of grants and contracts
  • Planning and managing logistics for large group meetings including travel, hotel, etc for out of town guests.

 

Coordinate personnel-related matters:

  • Working with supervisor to manage confidential personnel issues.
  • Independently preparing and processing personnel-related paperwork requiring a thorough knowledge of HR policies and procedures.
  • Maintaining confidential personnel files and reports.

 

Supervise Student Employees:

  • Independently assigns tasks to and supervises student workers.

Requirements:

This position requires an Associate's degree and a minimum of 36 months of relevant experience.
