Job description

Responsible for providing budget support of department general funds, unrestricted funds and research grants. Main responsibilities are to process, submit/approve financial documents in the Integrated Business Information System (IBIS) and Employee Reimbursement System (ERS), reconcile purchasing card purchases to departmental budgets, and reconcile all departmental budgets in system. Compute and submit salary savings and supplemental salary for faculty, as well as process wage payroll and verify department budget sources for fixed-term personnel appointments. Monitor all income and expenses for grant compliance. Track expenses of department short courses and ensure transfer of funds from college to correct department budgets. Process check deposits according to University procedures. Prepare, process, and obtain signatures on appropriate budget forms within College and University system. Create and distribute budget reports to faculty, department manager and unit leader. Create, maintain, and provide budget metrics for department administration. Assist in establishing department spending limits and monitor and report on department expenses. Work with college financial officer and others in College to resolve budget issues. Interpret and advise faculty, students, and staff on department, college and University fiscal policies and procedures. Assist with other administrative duties and provide backup to other office staff. Individual will participate in personal and team process improvement of fiscal and administrative processes. Requires additional specialized training beyond the high school level or completion of formal high school vocational program or equivalent, plus three months of work-related experience. Candidate must have excellent working knowledge of University budget system (IBIS), ERS and knowledge of University budget policies and procedures. Intermediate to advanced experience in Excel, FileMaker Pro, and Word is required. Experience with Access Database is also desired. Individual must possess excellent judgment, interpersonal and communication skills. Demonstrated commitment to diversity, customer service and ability to work in a team environment are a must.
